The table below provides guidance on which University data classifications may be used with approved AI tools and services. Before using University data with an AI tool, users are responsible for understanding the classification of the data and using only tools approved for that classification.

Refer to Policy 8.6 – Information Classification for University data-classification requirements and definitions of Public, Private, and Restricted Data.

Important Considerations

This guidance is subject to change. AI products, capabilities, licensing models, security controls, and contractual agreements are evolving rapidly. A tool that is approved for a particular data classification today may have different capabilities or requirements in the future. OIT will update this guidance as new tools become available, University agreements change, or additional security and privacy controls are implemented.

The specific edition of an AI product matters. Approval of an enterprise AI service does not automatically extend to the free, consumer, personal, or individually purchased version of the same product.

For example, where this table permits Private or Restricted Data with an approved Microsoft Copilot or AI chat product, that approval applies only to the University-approved enterprise edition, account, and configuration identified in this guidance. Do not use free, consumer, personal, or individually purchased versions of these services to process Private or Restricted University Data.

Approval of a platform does not mean every feature or integration is approved. Third-party GPTs, agents, plugins, connectors, browser extensions, external applications, and other integrations may transmit University data to additional services with different security and privacy practices. Use only University-approved integrations when working with non-public University data.

Use the minimum data necessary. Even when a tool is approved for a particular classification, avoid including unnecessary personal, confidential, or sensitive information. Remove or de-identify information when practical.

When in doubt, ask before uploading. If an AI tool, product, edition, feature, or use case is not listed in this table, or you are unsure whether a particular type of University data may be used with it, contact the OIT Help Desk before entering, uploading, connecting, or otherwise providing the data to the service.

The absence of a product from this table does not constitute approval to use it with Private or Restricted University Data.
